What information we collect, use, and why

Contact details

  • Collected from professionals/stakeholders when you engage with the project team and shared amongst the internal project team to develop the network and create connections
  • Collected from Community Panel members when you apply so that we can stay in touch with you about the project
  • Collected from you if you sign up to our monthly newsletter 

Survey and interview responses 

  • Collected from project participants – to collate and analyse information generated through the project to report on findings and inform the outcomes of the project 

Place-based data e.g. local/regional statistics, challenges, demographics etc.

  • Collected through national/regional/local data sets to be uploaded to the Yorkshire and Humber Office of Data Analytics and Yorkshire Engagement Portal to provide an accessible platform to analyse this information 
  • This anonymised, publicly available data is being collated into one accessible place

Demographic data e.g. location, ethnicity, age, disability/health

  • Collected from the Community Panel members to ensure there is a diverse and representative group and to include different lived experiences in the project
  • Collected from project participants to understand the different groups the project has engaged with and recordings trends/findings coming through the project activities relating to these demographics
  • This information will be collected through an anonymous form when attending a YPIP event/activity/workshop etc. This will be voluntarily and there will be ‘Prefer not to say’ options. 

Photographs 

  • Collected at project activities and events to have a visual record of the work being done and progress made through the project and promoting this through social media channels and other platforms
  • Collected from staff working on the project for online profiles
  • You will be provided with an image use form when attending a YPIP event/workshop/activity where pictures are being taken, and you will be given the option to remove yourself

An individual will always be aware or provide permission when their personal information is collected and used for the YPIP project.

Lawful bases and data protection rights

Under UK data protection law, we must have a “lawful basis” for collecting and using your personal information. There is a list of possible lawful bases in the UK GDPR. You can find out more about lawful bases on the ICO’s website.

Which lawful basis we rely on may affect your data protection rights which are set out in brief below. You can find out more about your data protection rights and the exemptions which may apply on the ICO’s website:

  • Your right of access – You have the right to ask us for copies of your personal information. You can request other information such as details about where we get personal information from and who we share personal information with. There are some exemptions which means you may not receive all the information you ask for. You can read more about this right here.
  • Your right to rectification – You have the right to ask us to correct or delete personal information you think is inaccurate or incomplete. You can read more about this right here.

If you make a request, we must respond to you without undue delay and in any event within one month.

Our lawful bases for the collection and use of your data

Public task is the lawful basis for collecting or using personal information for the following purposes:

  • To develop a diverse network of individuals working in a professional or organisational capacity to support regionally significant research areas
  • To build a community of panel members to involve local voices in policy making
  • Evaluation of the project using survey responses, place-based data

Consent

  • To stay in touch with interested people
  • Legitimate interests are the lawful basis for collecting or using personal information for the following purposes:
  • Collecting and publishing images of project participants to support the promotion of the project. Images will be used online and in print
  • Publishing staff details (including images) online to promote the visibility of the project

How long we keep information

The Yorkshire Policy Innovation Partnership will be live from January 2024 to December 2026. Personal information will not be kept beyond this point as systems storing this data will be shut down. 

Subscribers will be removed from our mailing list if requested to unsubscribe.

How to complain

If you have any concerns about our use of your personal data, you can make a complaint to us using the contact details at the top of this privacy notice.

If you remain unhappy with how we’ve used your data after raising a complaint with us, you can also complain to the ICO.
